Job Summary
For the purpose of offering senior-level managers complete administrative support, our client is looking for an Executive Assistant who is extremely organized and aggressive.
The ideal applicant should have excellent time management skills, be coachable, and show initiative in a hectic work setting.

Key Responsibilities
- Coordination of Operations: *prompt response and attention to detail*, scheduling appointments, client and provider scheduling, confirmation and follow up communication; assist clients with booking appointments and using our web portal
- Customer-facing support: taking calls, scheduling appointments, coordinating with the wellness team.
- Assistance with CEOs thought leadership social media as needed
- Basic website updates (class schedule/events) as needed or direction provided to UX/UI – tech team
- Prioritize assignments and delegate tasks to interns/team as needed.
- Improve internal processes and streamline business functionality by researching current industry trends and using that insight to form relevant, actionable solutions.
- Manage information flow efficiently and ensure accuracy in communications; format and distribute internal and external communications, including memos, emails, presentations, and reports.

- Demonstrate strong writing and proofreading skills, with proficiency in creating PowerPoint presentations.
- Track daily expenses and prepare detailed reports on a weekly, monthly, or quarterly basis.
- The ability to to assist team leadership and communication (Slack/Email), create policies and provide helpful services for employees. Will have Ops/EA Intern support in this role.
- Daily touch point (Typically Mondays at 1:30 pm EST and Wed-Fri. @ 11 am EST – may vary based on travel or business conflicts) and weekly team meetings, Tues at 6 pm -7 pm EST)
- Additional duties as needed.
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Knowledge in personal branding and social media management.
- Proficiency in MS Office, with exceptional organizational and time management skills.
- Ability to work independently, demonstrating creativity and initiative.
- Excellent verbal and written communication skills, with a high level of discretion and confidentiality.
- Ability to thrive in a competitive environment with a positive attitude.
- Detail-oriented, mindful, and able to follow a planned schedule effectively.
